An assigned lead still needs an owner

A routing rule is only useful when somebody accepts the request, knows what happened before it and has a fallback when the handoff fails.

Issue 05 · Research basis: 2024 buyer research · GTMhub routing method. Historical sources are interpreted for current GTM decisions.

The decision

Measure whether sales accepted and worked the inbound request, not just whether the CRM filled an owner field. Assignment records a system action. Acceptance establishes responsibility for the buyer's next experience.

A lead can have an owner and still be unattended. The person may be away, the account may already belong to another team, or a duplicate may have started a second conversation.

Why the handoff deserves attention

The 6sense 2024 Buyer Experience Report describes buyers doing substantial evaluation before contacting sellers. Our operating inference is that a request may arrive with specific expectations and existing knowledge. Asking the buyer to repeat everything, or routing them to the wrong person, can waste that moment.

The study does not prescribe a universal response-time target. Agree coverage and escalation around your actual buyer promises, time zones and team capacity.

The receipt the team should be able to inspect

Illustrative situations, not observations from a live client system.

The exception owner matters as much as the happy path. A queue called unassigned is not an owner, and enrichment failure should not erase a successfully saved request.

What to check this fortnight

Follow a small set of requests from submission to first meaningful action. Include a new account, existing customer, open opportunity, duplicate and unresolved identity. These can be safe test cases where live records are unsuitable.

For each, inspect saved submission time, relationship resolution, chosen owner, acceptance, first action and any escalation. Show elapsed time in the appropriate coverage window. Keep missing evidence visible rather than inventing an acceptance timestamp from assignment.

Ask the receiver what information was missing. A useful handoff includes the buyer's actual question, source page, known account context and relevant prior conversation. A long enrichment profile is not a substitute for the question they asked.

One workflow

Inbound routing separates account identity, relationship checks, ownership and fallback. Its interactive example shows why an existing customer and an unresolved company need different paths.

Use the existing CRM's ownership rules where they can do the job. Add automation around a documented gap, with a receipt and a way to recover from failure.

Use this next

Read Making inbound usable for sales. Agree what counts as accepted, who handles exceptions and when a request escalates. Keep those definitions alongside your lifecycle and lead-source rules.

The question for the next review: if this owner cannot act, does the buyer still have a clear next step?

How we run this

Put it to work in your company.

Our GTM engineering lane plugs into your company’s GTM brain. Start with one lane; services can run in parallel.

Book a call
  1. Week 1Your GTM brain

Monday kickoff. A 45-minute review Friday to confirm the context.

  2. Weeks 2–3Connect the lane plugin

Wire it into your existing tools and test the work with your team.

  3. Week 4Live, then improve

About three hours of your time in month one, then 15 minutes a week.

The first term is three months. The brain and lane plugin are handed over in full after it. Your accounts and data stay yours.
